How to Set Up School Fees and Payments with Synthixx
Setting up fee management is usually the first thing a school does with Synthixx. Here is how to do it right from day one.
Step 1 — Define your fee structure
Start by listing every fee category your school charges. Common ones include:
- Tuition fee
- Admission fee
- Transport fee
- Activity fee
- Exam fee
For each category, set the amount per class or grade. If different classes have different rates, configure each one separately.
Step 2 — Set up billing cycles
Most schools in Pakistan bill monthly. Some do quarterly. Synthixx supports both. Set your billing cycle, and the system will generate challans automatically on the schedule you define.
Step 3 — Generate your first challans
Go to the Fees module, select the billing period, and click Generate. The system creates individual challans for every student, with their name, class, fee breakdown, and due date.
You can print these as PDFs or send them digitally through the parent portal.
Step 4 — Track payments
As parents pay, mark the payments in the system. You can record cash, bank transfer, or digital wallet payments. The system maintains a complete payment history for every student.
Step 5 — Send reminders for outstanding fees
This is where the AI helps. Select the list of students with unpaid fees, and let Synthixx draft personalized reminders. Each message mentions the specific child, the amount due, and the payment history.
Review the messages, then send via WhatsApp, SMS, or email.
Tips from schools I have worked with
- Start clean: If you have old records in notebooks or Excel, take the time to enter them correctly. Bad data in means bad data out.
- Set clear policies: Define late fee policies, installment options, and refund rules before you go live. The system can enforce these automatically.
- Review weekly: Check the dashboard every Monday to see who has paid and who needs a reminder. Ten minutes a week saves hours of chasing.
